Day to day

Less scheduling on WhatsApp, more time in the chair

Booking visits, explaining what the first appointment is like and asking each patient for their history takes time that should go to your patients.

Without minisitee

  • Someone in pain sends a message and waits for you to step away from the chair to get an answer
  • “Does it hurt?” and “how much is it?” come back in every new chat
  • An allergy to anesthetic or a current medication only comes up once the patient is already in the chair
  • New patients do not know where you are, where to park or whether you see children

With minisitee

  • The WhatsApp button sits at the top with a ready message for people in a hurry
  • The first visit is explained step by step before the patient arrives
  • The health form arrives answered and you read it before calling the patient in
  • A map, opening hours and photos of the reception answer the rest

Tools

What a dentist's mini site needs

You add only what you use. Each tool can be added, removed or moved with a tap.

  • Appointment booking

You open the days and set the length of each slot; the patient requests one and you confirm it in Configure.

  • Treatments with photos

Cards with a photo and plain wording for cleaning, braces, whitening or implants; the price shows only if you want it to.

  • Health form

Up to 20 questions on allergies, medication and the reason for the visit; answers reach Configure before the patient does.

  • Office gallery

Reception, treatment room and team, so patients get to know the office before their first visit.

  • WhatsApp button

A shortcut with a ready message for people in pain or with a quick question about a treatment.

  • Address with map

A map to find the office; it helps to write in the text where to park.

  • FAQ

Answers that open on tap: does it hurt, how long does it take, do you see children, what is the first visit like.

  • Google review

A button that takes people you have treated straight to reviewing your practice on Google.

  3. 3

You confirm and read the form

In Configure you confirm the request and see the health form answers before the visit.

Guide

How to build a dental office mini site: what goes in each part

People looking for a dentist arrive in pain, nervous or in a hurry, and your mini site has to answer that right away. Here is an order that makes sense for your office.

Start with the person in pain

Put the WhatsApp button near the top with a ready message like “Hi, I have a toothache, do you have an opening today?”. Someone in pain will not pick a day on a calendar; they want to talk to a person. Right below, add one honest line about emergencies: “I see urgent cases depending on the day’s schedule, message me on WhatsApp”. Do not promise a slot you cannot keep, because that creates more complaints than it prevents.

Treatments named the way patients say them

In the Product or Service cards, write like patients talk: “Cleaning”, “Braces”, “Whitening”, “Implant”, “Children’s teeth”. Words like “prophylaxis” or “oral rehabilitation” push people away. Use a photo of the office or the materials, never a patient’s face. Price is optional; if you show one, first check what your professional board allows in advertising, including before-and-after photos and promotions.

A first visit with no surprises

Much of the fear comes from not knowing what will happen. With a List or Text tool, explain it in three steps: a talk about what bothers them, an exam with an explanation of what was found, and only then a plan you agree on together. Next put the Agenda and, after it, the Form with the health history: allergies, current medication, past surgeries, pregnancy. Arriving with that already answered saves the first ten minutes in the chair.

Photos that build trust

In the Gallery, show the reception, a clean and tidy treatment room and the team, if you have one. That is what calms someone who has never been there. Finish with the Address with map, adding a landmark and where to park in the text, and the Google review button for people you have already treated.

Best practices

Best practices for a dentist mini site

A dental practice mixes three audiences in one link: people in pain who want a slot today, people booking a routine checkup, and nervous people who just want to know what will happen.

Tool order: the free plan shows only the first 3

On the free plan, only the first three tools show.

  • 1st WhatsApp button: “Hi, I have a toothache. Any opening today?”
  • 2nd Agenda for routine visits
  • 3rd Form “Health history before your visit”
  • Then: services, office gallery, FAQ, hours and map

Urgent cases without promising what the schedule cannot deliver

Use Text to say what you really do: “Pain, swelling or a broken tooth: message me on WhatsApp and I will fit you in depending on the day’s schedule.” Do not write “24 hours” unless you answer 24 hours a day.

  • Pain, swelling, broken tooth or loose filling
  • Fit-in window: e.g. “easiest before 11 am”
  • After hours: point to emergency care

Service names: what patients type × the clinical term

Patients search “cleaning”, “braces”, “wisdom tooth”, “root canal”, “whitening”.

  • Cleaning and prevention — 40 min
  • Braces and adjustments — 30 min follow-up
  • Root canal and fillings — initial evaluation
  • Wisdom teeth and oral surgery — evaluation with X-ray
  • Children’s dentistry — longer, calmer visit

Agenda set by chair time

The Agenda accepts slots of 15, 30, 45, 60, 90 or 120 minutes, and all slots share the same length.

  • Length: 45 min
  • Minimum notice: 2 hours
  • Days ahead: 30
  • Monday to Friday 8–6, Saturday 8–12, Sunday closed

A health history form with dentist fields

The Form accepts up to 20 fields, but a long form scares people on a phone.

  • Reason for visit — single choice: checkup, pain, braces, implant, child, other
  • Allergy to medication, anesthetic or latex — single choice + short text
  • Current medications, especially blood thinners — long text
  • Diabetes, high blood pressure, heart condition — multiple choice
  • Pregnant — single choice; smoker — single choice

Insurance × private pay, minors and documents

Ask “Do you take dental insurance?” directly, in the Form and in the FAQ, with the plans you accept and your reimbursement rule, if any.

  • Bring: photo ID, insurance card, old X-rays
  • Under 18: guardian present
  • Reimbursement: office issues a receipt, if that is your case

Dental advertising and patient data

Dental board rules commonly restrict price and promotion posts, before-and-after photos, giveaways and any promise of results.

  • No before-and-after, no promises, no giveaways
  • Dentist name + license number + clinical director
  • No patient photo without written consent

How to tell it is working

Without promising results, watch three things every month: how many Agenda requests arrived and how many you confirmed, how many forms listed “pain” as the reason, and how many repeated questions still show up on WhatsApp. If many people ask “do you take insurance?”, the answer is not visible enough.

Your practice can have a mini site today

Show your treatments, open your calendar and get the health form before your next patient sits in the chair.

Questions from dentists

Can patients request appointments on their own?

Yes. With the Booking calendar tool, they pick a day and a free slot and request the booking. You confirm in Configure.
