Day to day

Fewer WhatsApp lists, more people actually registered

Promoting the event, explaining the program and writing down each registration by hand takes time that should go into organizing.

Without minisitee

  • Registration by message, one at a time
  • Date, time and venue repeated to every contact
  • A guest list scattered across chats and paper
  • Attendees not sure how to get to the venue

With minisitee

  • People register on their own through a form
  • Date, program and speakers on one page
  • Each person's name, WhatsApp and email in Configure
  • Address with map and a WhatsApp button for questions

Guide

How to build an event or workshop mini site without forgetting anything on the day

An event brings dozens of messages like "what time does it start?" and "is there parking?". The mini site is where you answer once instead of every time on WhatsApp.

Date, time and place right at the top

Open with the name, date and time in large type, with the Countdown beside it. Then the Address with a map and a practical note: "enter through the side street, partner parking next door". If it is online, put the room link where the map would go and explain in one line how to join.

A schedule that reads well on a phone

List each activity on its own line in List or Text: "9:00 Check-in", "9:30 Opening", "10:00 Hands-on workshop". Attendees plan their day by looking at this list. If there are speakers, give each one a card with a photo and a line about the topic.

Registration and day-of questions

To register, use the Form (name, email, one question) or paste the link to your ticketing system; minisitee does not process payments. In FAQ, answer what people ask most: what to bring, whether there is a certificate, whether it is accessible, whether guests are welcome. After the event, swap the Countdown for photos in the Gallery and a note about the next edition. Those who enjoyed it come back, and those who missed it find out.

Best practices

Best practices for an event or workshop mini site

An event has a fixed date: before it, people want to sign up and ask questions; on the day, they want to know where to go and when; afterward, they want the photos and the next one.

Opening: name, date, time and place first

Someone who gets the link in a group chat wants to know, in five seconds, what, when and where.

  • Title: Pottery workshop · Saturday, March 14 · 9 a.m. to 1 p.m.
  • Bio (up to 160 characters): “Pottery workshop for beginners, Saturday 3/14, in Portland. 20 seats. Sign up here.”
  • Profile name: the event name, with the edition or year

Schedule by time, the way participants read it

Use the numbered List, each entry with a title (the activity) and a detail (time, length and room).

  • 8:30 a.m. · Check-in and coffee (30 min)
  • 9 a.m. · Opening (15 min)
  • 9:15 a.m. · Hands-on workshop (2h, in pairs)
  • 11:15 a.m. · Break (15 min)
  • Noon · Closing and photos

Speakers and facilitators as cards

Each speaker or facilitator becomes a Product or Service card, with a photo, a 2 to 3 line bio and, instead of a price, a short note such as “Workshop, 9:15 a.m.” or “Talk, 10 a.m.”. Each card has its own address, and a speaker can share theirs with their network.

Sign-up: what to ask and what not to ask

minisitee does not process payments.

  • Full name (short text, required)
  • WhatsApp (required)
  • E-mail (required)
  • Level (single choice: beginner, intermediate, advanced)
  • Dietary restriction (multiple choice: vegetarian, gluten-free, lactose-free, none)
  • Final message: “Sign-up received. You will get a confirmation on WhatsApp by Wednesday.”

Logistics: let the Frequently asked questions run the day

The reasons for last-minute messages are predictable: how to get there, where to park, which door to use, what to bring, whether there is a certificate and accessibility.

  • Getting there: transit and nearest parking
  • What to bring: ID, apron, laptop
  • Exchange and cancellation policy (the one you actually follow)
  • Accessibility: ramp, adapted restroom, sign language interpreter
  • Certificate: who issues it and for how many hours

Calendar for venue visits and meetings

The Calendar is not for selling event seats. It works when the organizer wants short slots for meetings, such as 30-minute calls with exhibitors or sponsors, or a venue tour.

Before, during and after the event

Before: sign-up, schedule and questions.

  • On the day: QR code at the entrance and check-in desk
  • Afterward: photos, slides as PDF and thank-you
  • Next edition: “Notify me” Form

Images, data and how to measure

If you photograph or film the event, say so in the mini site and in the questions; photos of minors require guardians' permission. Use the sign-up list only for the event, and do not pass it to sponsors without prior notice.

FAQ

Questions from event organizers

How do people register?

With the Form, which you build with up to 20 questions, like name, WhatsApp and email. The answers arrive in Configure.

Can I use it for an online event?

Yes. Instead of an address, you write that the event is online and explain how the link reaches attendees.

Can I show the venue on a map?

Yes. The Address tool shows the venue with a map so people can find it.

Can I count down to the event?

Yes. The Countdown tool shows the time left until the date you choose.

Does it work for workshops, talks and webinars?

Yes. The page works the same for any gathering, and your mini site speaks Portuguese, English and Spanish.

Can I publish the speaker list and the schedule with times?

Yes. Use one card per speaker, with photo and topic, and the List with one line per activity and time. If the schedule changes, just edit the text and the mini site shows the new version.
