Guide

How to organize a caterer's mini site so quote requests arrive complete

Nobody books a party from photos alone, but many people skip a caterer that takes too long to show the basics. The mini site lets clients reach the quote already knowing what you do.

Sort by occasion, not by type of dish

Clients don't think "walking cocktail", they think "sweet sixteen" or "company graduation party". Use Product or service cards named Birthdays, Weddings and Corporate events, and inside each one say what you usually serve, how many hours the party runs and whether you bring waitstaff. Whoever recognizes themselves in a card moves on to the quote.

Photos of finished parties beat photos of plates

Any caterer has a pretty plate. What convinces is the set table, the cake in place, the full hall. Build the Gallery by mixing party types, so viewers find their own, and avoid photos where guests are easily recognizable without their permission. Full menus can sit in a downloadable PDF of up to 20 MB, so the mini site doesn't turn into a long list.

The form that saves the first back and forth

A quote needs five facts: date, number of guests, type of event, venue (yours or the client's) and what the person imagines for the menu. Put all of it in the Form and the request reaches Configure ready for you to build the proposal. If a date is already booked, say so in the description so clients don't waste time.

A tasting visit and answers at the right moment

People comparing caterers often want to taste before deciding. Use the Schedule for the visit or tasting: the client requests a free slot and you confirm. In Frequently asked questions, answer what blocks the decision: whether the price is per person, whether staff is included, what happens to leftover food.

Best practices

Best practices for a catering mini site

A caterer sells an entire party by quote, and the quote only comes with a date, guest count and venue.

Speak by occasion, but master the service vocabulary

Clients search for “sweet 16 catering” or “company graduation party”.

  • Title: “Weddings”
  • Note: “dinner for 80 to 200 guests”
  • Description: “Reception with canapés, three-course dinner and dessert table. Waitstaff included.”

Menu packages and what is included

Create a “Menu packages” category in Product or Service, with cards like Appetizer Package, Lunch Package, Cocktail Package. In each, state the quantity per person you usually plan (for example, appetizers per guest per party hour), how many entrée options, drinks included and the service length, generally 3 to 5 hours.

Photos of finished parties and image consent

The Gallery takes up to 20 photos in 1 to 4 columns. Use shots of set tables, food stations, served buffets and full rooms, from varied event types, so each visitor finds theirs.

The quote: data you need and dietary restrictions

The Form takes up to 20 fields; for a quote, 7 to 9 are enough.

  • Event type (single choice: birthday, wedding, corporate, other)
  • Party date (date, required)
  • Number of guests (number, required), with children counted apart
  • Venue: yours or the client's (single choice)
  • Services (multiple choice: food, drinks, cake and sweets, decor)
  • Dietary restrictions and allergies (long text)
  • Your WhatsApp (required)

Tasting and visit: an Agenda tuned to your kitchen

Set the Agenda for tastings with 60-minute slots, a minimum notice of 24 hours, 30 days ahead, open Tuesday to Saturday and closed Sunday and Monday, which are party or rest days. The client enters name, email and WhatsApp, and you confirm in Configure; rescheduling and cancelling happen in “My appointments”.

Tool order and the lead times clients need to know

On the free plan the first 3 tools show: put Title, the WhatsApp button with a ready message (“I want a quote for a party of 60 people”) and the cards by occasion.

  • How far ahead to book
  • Menu adjustments accepted
  • Serves other venues
  • How the date is reserved

Hygiene, privacy and measurement

In food, trust comes from routines: state, if true, that the kitchen follows local health rules and has a responsible technician, without citing seals you do not hold. Form data belongs to the client: use it only for the proposal.
